Description

Primary Purpose
The Travel Specialist is responsible for clerical/office duties related to travel, such as data entry, scanning, filing, processing of training requests which includes calculating per diem, registration, requisition of related funding, and reserving accommodations for outside agency training. The Travel Specialist also serves as the liaison with the St Johns River State College (SJRSC) and First Coast Technical College (FCTC) as well as other schools, government agencies, and companies for training.

Education and Qualification Requirements

  • High School Diploma or Equivalency
  • Valid Florida Driver’s License
  • Basic knowledge of Microsoft Word, Excel, and Outlook
  • Basic knowledge of Adobe
  • Basic knowledge of general office equipment

Duties

  • Prepare/maintain/process training requests by reviewing requisitions, approving, and separating out into separate purchase orders for hotel, registration, per diem, flight, and/or rental car
  • Register employees for outside agency training
  • Coordinate and schedule travel and accommodations for outside training
  • Complete and process requests for in-house training
  • Calculate per diem amounts and send travel voucher to accounts payable for processing
  • Create/maintain/process lists for specified classes in Munis for employee free training and course lists
  • Handle travel cancellations, requesting refunds for flight, hotel, and registration, as well as closing the purchase order
  • Frequently swapping employees who cannot attend with other employees
  • Confirm training location hotel, air travel, and car rental and relay information to the employee
  • Send travel p-card receipts and payment confirmations to accounts payable
  • Maintain agency data on the outside travel website for booking flights and hotels
  • Manage hotel or flight credits and applying them to other travel when able
  • Monitor open travel purchase orders to determine if they should be closed
  • Serve as the subject matter expert for travel

  • Maintain confidentiality/security of files and information obtained in the course of employment
  • Process/compile/disseminate record/public record information as directed by approving authority in accordance with lawful requirements
  • Maintain continuity and operational efficiency by accurate and timely dissemination of information to Staff and co-workers
  • Adhere to leave, overtime and attendance policies/procedures (i.e. arrive promptly, regular attendance at work, notification to supervisor regarding absence from work due to illness or untimely incidents, etc.)
